Prior to the first Congregational meeting of the calendar year, a chair, alternate chair and secretary are elected by those members present. Normally, nominations for these positions are sought by the Chair of Council in advance of the meeting. The Chair and alternate chair shall be members of the United Church of Canada and members or adherents of Woodroffe United Church. The chair, alternate chair and secretary shall remain in office until the first Congregational meeting of the following year.
The Chair of the Congregation is responsible for presiding over all Congregational meetings held in that year, following the guidelines for such meetings provided by the United Church Manual.
The Secretary of the Congregation is responsible for recording all motions and actions of the Congregational meeting and ensuring that the minutes are available to Council within two months of the meeting.
Congregational meetings called to address pastoral relations are chaired by the Presbytery officer assigned to the Joint Pastoral Relations committee. Under normal circumstances, the Congregational Secretary will take minutes of such meetings.
